Estimate your Managed IT price

How to count
  • A computer user is someone who needs support for their work on a laptop or desktop, whether they work in the office or on jobsites.
  • Count each person once, as a computer user or a mobile-only team member.
  • A shared computer counts once. Monitors, printers and phones aren’t computers.
  • Phone and app help comes with each person. Full phone management is quoted separately.

How we count people and computers

Start with the $699 base, which covers up to 2 computer users and 2 computers. Each additional computer user includes care and support for one more computer, so covering a new person and their laptop is $175, not $175 plus $80. Only computers beyond those already included are $80 each.

An unused place in the base can cover a mobile-only team member instead, and the base doesn’t go down when places are unused. Your quote lists the people receiving support, so not everyone on payroll is automatically a paid team member.

Computer users
Named people who need support for their work on a laptop or desktop, whether they work in the office or on jobsites: owners, admins, estimators, salespeople and project managers. Each one is counted once, however many apps or logins they have, and each additional computer user includes care and support for one more computer.
Mobile-only team members
Named team members who only need help on a phone or tablet: work email, passwords and logins, and approved apps for scheduling, time entry or photo uploads. No computer support. It doesn’t include full phone management or backing up the phone itself.
Computers
Desktops and laptops count the same, including shared shop computers and secondary laptops that we look after. A shared computer counts once, and the people using it are still counted as people. A tablet running a full desktop operating system counts as a computer. Monitors, printers and other accessories don’t.
Phones and tablets
Help with work accounts and approved apps comes with the person. An owner who checks work email on a phone isn’t charged twice. Full phone management, like locked-down settings or remote wipe, is quoted separately.
Who’s on the roster
Your quote lists the people we support. Not everyone on payroll is automatically a paid team member, and people outside the list aren’t quietly covered either. Subcontractors only count when their accounts or support needs put them on it.

Support hours: Monday to Friday, 8am to 5pm Pacific, excluding holidays. Managed IT gets priority routine support, Essential Care help is scheduled, and on-demand work is subject to availability. During support hours, we prioritize security concerns and problems that stop your business working.

How technical help is billed

Get practical help by phone, written instructions or a remote session. Covered routine support is included with Managed IT. Other technical help is $200/hour or quoted as a project, with approval before billable work begins.

How a request works

  1. You send the problem by text, email or phone. Asking never costs anything.
  2. We work out whether it’s included maintenance or separately billed help.
  3. If it’s billable, you hear the rate and a spending limit before real troubleshooting starts.

“This counts as technical help rather than included maintenance. We can look into it at $200 an hour, with a 30-minute minimum. We’ll check back with you before going past one hour.”

What you’d hear before billable work starts

Counts as working time

  • Investigating and testing
  • Making changes to settings
  • Writing up what was done
  • Working with another provider on your behalf

Not charged as support time

  • Submitting a request
  • For monthly clients, routine maintenance of the monitoring, protection and backup services included in their plan
  • Unattended waiting while an update or upload runs
  • Correcting problems caused by our own work

Calls and follow-ups on the same problem are added together, so the minimum doesn’t restart. Approved troubleshooting is billable even when the answer turns out to be new hardware or a fix from another provider, and we say so before we start. Physical repairs and problems that can’t be solved remotely need a separate arrangement.

Not in the monthly price

On both plans. Nothing here is started without your OK.

Quoted by us first

  • Projects like moving email or files, setting up new systems and major cleanups
  • Recovery after a major security problem, or extensive rebuilding
  • Full phone and tablet management
  • Servers, network equipment and other specialist equipment
  • Backup beyond the coverage in your plan, like files stored only on computers
  • On-site work and travel
  • After-hours response is not included or guaranteed. Any separately arranged work outside support hours is agreed and priced in advance.

Paid to your providers, in your name

  • Microsoft 365 or Google Workspace
  • JobTread, Buildertrend, Jobber and your other business apps
  • Phone and carrier service
  • Domains and renewals
  • Computers, tablets, phones and other hardware

The management, security and backup tools we use are included in your plan. When a problem needs another provider to fix it, we help coordinate within your plan’s support coverage. That provider remains responsible for the repair.

Pricing questions

Which plan should I pick?

If you mainly want your computers maintained and protected, and only need a hand now and then, Essential Care. If your team needs regular help, or you’d rather not think about the clock, Managed IT. Your quote recommends one.

Is there a contract?

No long-term contract. Both plans are month-to-month, and you can cancel with 30 days’ written notice. Your quote spells out the one-time setup, exactly what’s covered, and any supplier commitments that can’t be cancelled.

How is help billed on Essential Care?

At $200 an hour, approved by you before billable work starts. There’s a 30-minute minimum, then 15-minute steps, so a 20-minute fix is $100 and a 45-minute one is $150. Calls and follow-ups on the same problem are added together, so the minimum doesn’t restart every time you reply.

What does Managed IT’s included support cover?

Routine remote support for the people and computers in your agreement, with no monthly hour limit: troubleshooting, passwords and account changes, help with approved apps, dealing with your technology providers, and restoring individual files or emails. A covered problem doesn’t become a project just because it takes three hours instead of thirty minutes. Bigger changes, like migrations or new systems, are quoted separately.

Who counts as a computer user or a mobile-only team member?

A computer user is someone who needs support for their work on a laptop or desktop, whether they work in the office or on jobsites, and each additional one includes care and support for one computer. A mobile-only team member only needs work email, login and app help on a phone or tablet, with no computer support. Each person is counted once, and nobody is charged twice for checking email on their phone. That $50 help doesn’t include full phone management or backing up the phone itself, which are quoted separately.

What’s the IT Health Check?

A one-time review of your computers, email, backups, security, software and providers, with a plain-English report and a 12-month plan. It’s $1,500 for a standard, single-location business with up to 10 people. It’s optional: you don’t need one to get a quote or start a monthly plan. The plan is yours, whether or not Ghostworx does the work.

What does setup cost?

One-time setup is quoted separately, after a quick look at what you have now, because it depends on how many people, devices and accounts need bringing in and what shape they’re in. It covers getting proper access, an inventory, documentation, installing the agreed tools, setting up protection and backups, and a list of problems we find.

What if our team changes?

Your monthly price follows the people and computers covered by your plan, not everyone on payroll. We confirm coverage and pricing changes with you before updating the plan, and changes made mid-month are prorated. Managed IT has a $699 monthly minimum. Essential Care covers up to 2 people and 2 computers; if you need more covered, we’ll quote Managed IT before making a change.

Is the estimate the price I’ll pay?

The estimator uses our published rates for the people and computers you enter. Your quote confirms that coverage and lists one-time setup and any additional services separately. Extra backup, full phone or tablet management, servers or network equipment can add to the total. We explain any difference and confirm the price with you before service starts.

What if a technology problem stops us working?

If essential work is blocked or you suspect a security problem, call (253) 893-6160 during support hours rather than texting or emailing. Requests are prioritized by their impact on your business. Covered support is included with Managed IT, Essential Care troubleshooting is billed at the agreed support rate, and after-hours response isn’t included.

What about after-hours support?

Standard support hours are Monday to Friday, 8am to 5pm Pacific, excluding holidays. After-hours response isn’t included or guaranteed on either plan. Any separately arranged work outside support hours is agreed and priced in advance. Automated monitoring keeps running either way, but it doesn’t mean a person is working around the clock.

Do you resell Microsoft 365 or other software?

Not by default. You pay Microsoft, Google and your software companies directly, and the accounts stay in your name. The management, security and backup tools we use are included in your plan.
