Privacy Policy
Effective Date: September 30, 2026
This policy explains what information Ghostworx collects through ghostworx.co and when you contact us, how we use it, and the choices you have. Ghostworx is operated by Justin Grimm as a sole proprietorship based in Washington State (“Ghostworx,” “we,” “us”).
The short version: we collect what you send us and basic website statistics, we use it to answer you and run the business, and we don’t sell it.
What this policy covers
This policy covers this website, quote requests, and emails, calls and texts with us. It doesn’t cover data inside the systems we manage for clients. That’s explained under Client systems we manage, below.
Information we collect
What you give us
- Quote and support requests: your name, company and email, and if you choose, your phone number, the best way to reach you, whether you agree to texts, your team size, anything else you’d like your quote to cover, what you need help with, and any plan or estimate details carried over from our pricing page.
- Emails, calls and texts you send us, and our replies.
- If you become a client: contact and billing details for your company, and the details in our signed agreement.
Please don’t send passwords, customer records or other sensitive information through the website, by email or by text.
What’s collected automatically
When you visit the site, our hosting provider keeps standard server logs, such as IP address, browser type and the pages requested, to run the site and keep it secure. We also use Google Analytics, described under Analytics and cookies. We don’t collect payment card details on the site.
How we use information
- Reply to your questions and prepare quotes
- Provide, schedule and bill for services if you become a client
- Send texts you’ve agreed to receive
- Understand how the site is used, so we can improve it
- Keep the site and our systems secure, and block spam and abuse
- Keep business records and meet legal, tax and accounting obligations
We don’t sell personal information, and we don’t use it for targeted advertising.
Texts
If you check the text box on our quote form, or otherwise agree to texts, Ghostworx may text you about your request and your IT support, such as replies, scheduling and updates on support requests. Message frequency varies. Message and data rates may apply. Reply STOP to opt out at any time, or HELP for help. Agreeing to texts isn’t required to get a quote or buy services.
We don’t sell or share your mobile number or text opt-in with third parties or affiliates for marketing or promotional purposes. Text messaging opt-in data and consent are not shared with any third parties.
More detail is in the Texts section of our Terms.
Who we share information with
We share information only with service providers that help us run the business, and only what they need:
- Our website hosting provider
- Resend, which delivers quote requests from the website to our inbox
- Our email, phone and texting providers
- Google Analytics, for website statistics
- Accounting, invoicing and document-signing tools, for clients
- Professional advisers such as our accountant or lawyer, who keep it confidential
We may also disclose information when the law requires it, to protect the rights, safety or property of Ghostworx, our clients or others, or if the business is sold or transferred. In that case this policy continues to apply to the information transferred.
Analytics and cookies
We use Google Analytics to see how many people visit, which pages they view, how they found us and roughly where they are, at the city or region level. Google Analytics uses cookies and similar identifiers to do this, and your IP address reaches Google as part of the connection. We don’t send it names, email addresses or phone numbers.
We’ve turned off Google Analytics advertising features, Google signals and ad personalization, and we don’t use advertising or remarketing cookies. The site itself doesn’t need cookies to work.
Google explains what it does with this data in How Google uses information from sites or apps that use our services.
Your choices
- Global Privacy Control and Do Not Track: if your browser sends either signal, our site doesn’t load Google Analytics at all.
- Visitors in the European Economic Area, the UK and Switzerland: analytics cookies are off by default.
- You can also use Google’s opt-out browser add-on, or block or delete cookies in your browser settings. The site works without them.
Apart from Google Analytics, we don’t allow other companies to collect information about your activity on our site over time or across other websites.
Client systems we manage
When a business hires Ghostworx, we get administrative access to its systems, such as Microsoft 365 or Google Workspace, computers and phones, security tools and backups. That can include the business’s email and files, and information about its employees and customers.
We use that access and data only to provide the services the client asked for, under our written agreement with them and following their instructions. The client controls that data, and this policy doesn’t cover it. If you work for one of our clients and have a question or request about data in their systems, contact your employer, and we’ll help them respond.
We never sell client data or use it for marketing.
How long we keep information
We keep information only as long as we need it for the purposes above. Quote requests from people who don’t become clients are kept as long as needed to follow up and keep business records. Client records are kept for the length of the agreement, and afterward for as long as tax, accounting and legal requirements call for. Google Analytics deletes detailed visit data automatically after the retention period set in our account.
Security
We use reasonable administrative, technical and physical safeguards to protect information. No website, email or storage system is completely secure, so we can’t guarantee absolute security.
Your choices and requests
You can ask what personal information we have about you, and ask us to correct or delete it. Email hello@ghostworx.co or call or text (253) 893-6160. We may need to confirm who you are first, and we may keep information the law requires us to keep or that we need as a record of services provided.
If a state privacy law gives you additional rights, contact us and we’ll honor them where the law applies.
You can stop texts at any time by replying STOP. If we ever send marketing email, it will include an unsubscribe link.
Children
Our site and services are for businesses. They aren’t directed to children under 13, and we don’t knowingly collect their information. If we learn that we have, we’ll delete it.
Where information is processed
Ghostworx is based in the United States and serves US businesses. Information is processed and stored in the United States, and wherever our service providers operate.
Changes to this policy
We’ll post any changes on this page and update the effective date. If a change significantly affects how we use information you’ve already given us, we’ll say so at the top of this page, and we’ll tell clients by email.
