Business email and accounts for contractors Microsoft 365 and Google Workspace support
Email, sign-ins and account access for your office and field crews, set up properly and kept that way. Routine account help is included on Managed IT. Moving to a new platform is a separate project.
Problems we handle
A few of the everyday requests this covers.
- A foreman got a new phone and can’t get past the sign-in prompt
- Emails to customers are landing in their spam folder
- The office manager needs access to the shared bids inbox
- A mailbox is full and new mail is bouncing
- Email stopped syncing on someone’s phone after an update
- A project manager who left still has company email on their phone
What’s included
Day-to-day account help for the people on your plan: included on Managed IT, and billed hourly on Essential Care. Multi-factor sign-in and backup stay in place on both.
- Accounts and licenses
- Creating, changing and removing email accounts, assigning the licenses you already pay for, and flagging ones nobody is using.
- Multi-factor sign-in
- Set up for every supported business account during onboarding and kept on. Help when someone gets a new phone or is locked out is routine on Managed IT.
- Shared mailboxes and group addresses
- Addresses like info@ and bids@, shared calendars, group email lists and who can see what.
- Email on computers and phones
- Outlook, Gmail and phone mail apps connected and syncing, on company computers and personal phones used for work.
- Email delivery settings
- The settings that route your email and prove to other mail systems it’s really from you, kept correct and written down. When messages bounce or land in spam, we find out why.
- Domain ownership
- A written record of who owns and renews your domain, and access to the account where it’s registered sorted out.
- Backup of covered accounts
- Business email and cloud files for your covered accounts, as listed in your coverage plan, backed up separately from Microsoft or Google. What the backup covers
When someone leaves
Their access stops, and nothing they were responsible for gets lost. Licenses are only changed once their email and files are handed over.
Keeping a former employee’s mailbox or files can still involve license or storage costs from Microsoft or Google. We’ll tell you the options.
- Their sign-in is blocked and their account sessions are revoked
- You decide which email and files need keeping, and who takes them over
- Their mailbox is forwarded, shared or kept, and their files are handed to someone who’s staying
- Once that’s done, their license is reassigned, or cancelled where your subscription allows it
How it works on each plan
Maintained and protected
Essential Care
$299 a month for 1 person and 1 computer, or $399 in total for up to 2 people and 2 computers. Maintenance, protection and backup are included. Technical help is $200 an hour, approved by you before billable work starts.
Multi-factor sign-in stays on and backup of your covered accounts runs in the background every month.
Changes and troubleshooting, like adding an email address, fixing a login or setting up a new hire, are billed at $200 an hour, approved by you first.
Support included
Managed IT
From $699 a month for up to 2 computer users and 2 computers, with routine remote support included during support hours. Additional computer users are $175 a month, each covering one computer. Mobile-only team members are $50 and extra computers $80 a month.
Routine email and account help, and troubleshooting, is included for everyone on your agreement, including setting people up when they join and shutting off access when they leave. Crew who only need email and apps on a phone count as mobile-only team members, adding $50 a month each.
On both plans, you pay Microsoft or Google directly for your subscriptions. The backup service included in your plan is covered by your Ghostworx fee.

Common questions
Do we have to be on Microsoft 365 or Google Workspace?
Most contractors already use one of them. If your email runs somewhere else, like your web host, say so on the quote form. We’ll tell you whether we can support it as is, or whether moving makes sense, and a move is quoted as a project.
Do we buy licenses through you?
No. You pay Microsoft or Google directly and the accounts stay in your name. We manage them with access you grant, and that access is removed if you ever leave.
Microsoft and Google already offer support. Why use Ghostworx?
Their support covers their products. We take responsibility for your setup: knowing how your accounts, permissions and devices are arranged, handling people joining and leaving, fixing problems that cross email, phones and computers, and keeping your records current. When the problem is on Microsoft’s or Google’s side, we contact them and follow up.
Why are our emails landing in spam?
Sometimes it’s the authentication records (SPF, DKIM and DMARC) that tell other mail systems your messages are genuine, and we keep those correct. Delivery also depends on things like your sending reputation and the recipient’s own filtering, so we investigate each case and tell you what we find.
Can crew members get email help on their personal phones?
Yes. On Managed IT, crew who only need work email, login and app help on a phone are mobile-only team members, adding $50 a month each to your total. On Essential Care, that help is $200 an hour. Either way, the phone itself isn’t managed. Full phone management is quoted separately.
What happens to someone’s email when they leave?
Their sign-in is blocked and their sessions are revoked, which can take a little while to reach every device. That stops their account access, but it doesn’t erase email or files already downloaded to a phone or laptop. Resetting a company computer before it’s handed on can be part of the process if you authorize it. Remotely wiping phones needs full phone management, which is quoted separately. You decide what happens to the mailbox: forwarded, turned into a shared mailbox, or kept for records.
