What Ghostworx covers Managed IT services for contractors

Remote help and upkeep for the computers, phones, email and job software your office staff and field crews rely on, with security and backup behind it.

Help when something breaks

Text, email or call from the office or the job site. We troubleshoot remotely, and deal with the provider when the problem is on their side. Included on Managed IT, and $200 an hour otherwise.

Remote troubleshooting
Computers, printers, apps, accessories and connection problems, worked through by phone, written steps or a remote session.
Phone and app help
Work email, sign-in and approved work apps on your team’s phones and tablets, including personal phones used for work.
Contractor software help
Sign-in, sync and device problems with JobTread, Buildertrend, Jobber and the other apps your team runs on.
Dealing with your technology providers
When the problem is on a provider’s side, we look into it, confirm who’s responsible, push them with the details and follow up. The provider controls fixes and outages in its own product.

For example

  • An estimator can’t open the plans folder on the shared drive
  • The scheduling app stopped syncing on a foreman’s phone
  • The office printer vanished after an update
  • Jobber isn’t loading and nobody knows if it’s you or them

Computers kept healthy

Windows and Mac computers monitored, updated and protected on a schedule, on both plans. Phones and tablets get work email and app help on Managed IT.

Computer support and protection
Computer maintenance
A list of your covered computers, health monitoring, software and security updates, and computer protection on Windows and Mac, with routine problems followed through.
Phone and tablet help
Work email, logins and approved apps on supported phones and tablets, for the people on Managed IT.
Full phone and tablet management
Putting company phones under central control: locked-down settings, remote lock or wipe, and apps pushed across the team. It needs its own device list and tools, so it’s quoted separately.

For example

  • A laptop has been putting off updates for months
  • The shared shop computer keeps running out of disk space
  • A new foreman needs work email and the scheduling app on their phone

Phone help covers work accounts and approved apps, not management of the device itself.

Business email and accounts

People set up with the right access when they join, changed when their role changes, and removed when they leave. Routine on Managed IT.

Microsoft 365 and Google Workspace support
Email and account help
People, licenses, shared mailboxes, extra email addresses, groups and permissions in Microsoft 365 or Google Workspace.
New hires, role changes and departures
The right access from day one, adjusted when roles change, and shut off when someone leaves.
Domain and email settings
Finding out who controls your domain, getting you into the account where it’s registered, and routine settings changes, including the ones that decide whether your email gets delivered. We work with your website company when needed.

For example

  • A project manager who left still has company email on their phone
  • Emails to customers are landing in spam
  • The office manager needs access to the shared bids inbox

Moving to a new email platform is a project, quoted separately.

Protected, backed up and documented

The same security and backup baseline on both plans, plus a written record of how your systems are set up.

Security and business data backup
Computer protection
Security software and software updates on every covered computer. Monitoring runs around the clock, and we follow up on real problems during support hours.
Account and login security
Multi-factor sign-in protection on supported Microsoft 365 or Google Workspace business accounts, so a stolen password isn’t enough to get in.
Business data backup
The business data listed in your coverage plan, usually business email and cloud files for covered people, backed up, checked for failures and recovery-tested on an agreed schedule.
A record of your setup
Your systems, who owns each account, key settings and how things are done, written down during onboarding and kept current.

For example

  • A project folder was deleted from the shared drive last week
  • Someone typed their password into a fake sign-in page
  • A security alert fires on the office computer overnight

Backup covers what your plan lists. It doesn’t automatically include every file, application, phone, server or a full image of a computer.

Need help with a bigger project?

Our monthly plans cover your day-to-day IT. Bigger work is quoted on its own, with a price agreed before anything starts, and you don’t need a monthly plan to ask.

Office and equipment

  • Office technology setups
  • Wi-Fi and network upgrades
  • Phone systems
  • Larger technology upgrades

Data and security

  • Email and file moves
  • Major data recovery
  • Security improvements

Software and growth

  • Software setup and rollout
  • Customer management software (CRM)
  • Automations
  • Software connections
  • Custom tools
  • Website builds
  • Help getting found on Google (SEO)
  • Business process and technology consulting

Not on the list? Ask anyway. We’ll confirm whether it’s a fit and provide a price before work begins. No monthly plan required.

Discuss a Project

What counts as routine

Everyday fixes and changes. Anything bigger is a special project, priced before it starts.

Essential Care:
billed at $200 an hour, approved by you first, with a 30-minute minimum.
Managed IT:
included within your agreed scope, with no monthly hour limit. A covered problem doesn’t become a project just because it takes longer.
  • Installing an approved app, or signing in on a new computer or phone
  • Fixing a sync, sign-in, printer or connection problem
  • Adding a person, mailbox, email address or shared folder permission
  • Setting up or removing one employee in an established setup
  • Restoring a deleted email or file from covered backups

Ground rules on every plan

  • Support is remote. On-site visits in the Seattle area, and travel for agreed projects, are quoted separately. Hardware that needs hands-on repair may need a local shop or warranty service.
  • When a provider’s product breaks or goes down, we look into it, push them and follow up. The provider controls the fix.
  • People respond during support hours, Monday to Friday, 8am to 5pm Pacific, excluding holidays. After-hours response isn’t included or guaranteed, and any separately arranged work outside them is agreed and priced in advance. Monitoring keeps running, but it doesn’t mean a person is working around the clock.
  • Coverage applies to the people, computers and accounts in your agreement. Computers need supported software and licenses, and a badly neglected system may need paid cleanup before regular coverage starts.
  • You pay directly for your business software subscriptions, phone service, hardware and domain renewals, and those accounts stay in your name. The monitoring, security and backup tools in your plan are covered by your Ghostworx fee.

Is Ghostworx a good fit?

Fit depends on how your business runs, not just headcount. A solo owner with subcontractors and a 40-person company can both be a good match.

A good fit when

  • Your business runs on cloud software, email, computers and phones
  • Nobody is consistently responsible for keeping them working
  • IT problems are landing on the owner or the office manager
  • You want one point of contact when several technology providers are involved

A different arrangement when

  • You need constant physical repairs to equipment
  • You need a dedicated IT person on site every day
  • You need a person answering immediately, around the clock
